Contracts Co-Ordinator


We are seeking an organised and proactive Contracts Co-ordinator to support the smooth and efficient running of our Rail operations. Acting as the central point of coordination, you’ll provide vital administrative and operational support across multiple projects, helping ensure that everything runs seamlessly from start to finish.

 

Key Responsibilities…

  • Provide administrative support across all areas of the Rail business.
  • Liaise with internal teams and external customers to ensure the effective delivery of projects.
  • Administer timesheets and maintain data accuracy within the Unit 4 Management Information System.
  • Order project materials and tooling to schedule and budget, ensuring all relevant documentation (e.g. drawings) is in place.
  • Process goods receipts, data entry, purchase invoices, and support debt chasing and reporting to the Operations Manager.
  • Set up and maintain contract files and documentation.
  • Create, issue, and close Job Cards, including invoicing upon completion.
  • Ensure all completed products are fully compliant, with correct documentation before shipment.
  • Compile client quality packs as required.
  • Support HR administration by maintaining training records, holidays, sickness, and fleet data within Unit 4.

Your skills and experiences:

  • Excellent organisational skills with the ability to prioritise and manage multiple tasks.
  • Strong attention to detail and accuracy in data entry and process checks.
  • Confident communicator, both written and verbal.
  • Competent in Microsoft Word and Excel (Unit 4 experience advantageous).
  • Able to work effectively both independently and as part of a team.
  • Flexible, motivated, and proactive with a positive attitude and drive to succeed.
